Personal Assistant

 

Job Description:

We are seeking a highly organized and detail-oriented Personal Assistant to support our executive team at Shýdi Skincare. The Personal Assistant will play a crucial role in ensuring the smooth operation of day-to-day activities and providing administrative support to key executives. The ideal candidate will be proactive, resourceful, and capable of handling a wide range of tasks with professionalism and efficiency.

 

Responsibilities:

  • Provide comprehensive administrative support to the principal CEO and other executives, including managing calendars, scheduling appointments, and coordinating meetings.

  • Handle correspondence, emails, and phone calls on behalf of the executives, ensuring timely responses and follow-ups.

  • Prepare and organize materials for meetings, presentations, and conferences, including agendas, reports, and presentations, and set up network interviews.

  • Manage office logistics, including arranging the principal CEO's travel and accommodations and coordinating visitor arrangements for significant events, and also able to accompany the principal CEO in a spare moment.

  • Assist in the coordination and execution of unique projects and events, including product launches, marketing campaigns, and promotional activities.

  • Collaborate with cross-functional teams to gather information, track progress, and meet project deadlines.

  • Conduct research and compile data as needed to support project planning and decision-making processes.

  • Serve as a point of contact for customer inquiries and feedback, handling inquiries promptly and professionally.

  • Coordinate with customer service teams to address customer issues and resolve complaints effectively.

  • Monitoring website presence and customer service responses.

  • Assist in preparing and editing documents, reports, and presentations, ensuring accuracy and adherence to company standards.

  • Manage expense reports, invoices, and other financial documents, tracking expenses, and reconciling accounts as needed for the principal CEO.

  • Perform general administrative tasks, such as filing, copying, scanning, and organizing documents, photoshoots, television promotions, and principal CEO appearances.

 

Administrative Support:

  • Assist in preparing and editing documents, reports, and presentations, ensuring accuracy and adherence to company standards.

  • Manage expense reports, invoices, and other financial documents, tracking expenses, and reconciling accounts as needed.

  • Perform general administrative tasks, such as filing, copying, scanning, and organizing documents.

Qualifications:

  • Bachelor's degree in Business Administration, Communications, or related field preferred.

  • Proven experience as a Personal Assistant or Executive Assistant, preferably in a corporate or professional setting.

  • Exceptional organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.

  • Strong written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software applications.

  • Discretion and confidentiality in handling sensitive information and maintaining professional relationships.

  • Flexible and adaptable with a positive attitude and willingness to take on new challenges.

  • Knowledge of skincare industry trends and products is a plus.

Logistics Coordinator

 

Job Description:

We are seeking a meticulous and detail-oriented Logistics Coordinator to join our team at Shydi Skincare. The Logistics Coordinator will play a critical role in ensuring the quality and safety of our skincare products by implementing and maintaining rigorous quality control measures throughout the production process. The ideal candidate will have strong communication skills, attention to detail, and a solid understanding of logistics and supply chain management principles.

 

Responsibilities:

1. Inventory Management:

  • Coordinate inventory levels and stock replenishment to ensure optimal stock levels are maintained at all times.

  • Monitor inventory levels, track stock movements, and analyze inventory data to identify trends, forecast demand, and prevent stockouts or overstock situations.

  • Conduct regular inventory audits and cycle counts to ensure the accuracy and integrity of inventory records.

2. Order Fulfillment and Shipping:

  • Process and manage customer orders, ensuring accurate and timely order fulfillment and shipment.

  • Coordinate with warehouse staff to pick, pack, and ship orders according to customer requirements and shipping schedules.

  • Generate shipping documents, labels, and packing slips and coordinate with carriers to arrange transportation and delivery of goods.

3. Supply Chain Coordination

  • Collaborate with suppliers, manufacturers, and distributors to coordinate inbound and outbound shipments and ensure timely delivery of materials and products.

  • Monitor and track shipments, communicate with stakeholders to resolve any issues or delays, and provide regular updates on shipment status.

  • Coordinate with customs brokers and freight forwarders to ensure compliance with import/export regulations and documentation requirements.

4. Logistics Planning and Optimization

  • Plan and optimize logistics processes and routes to minimize transportation costs, reduce lead times, and improve overall efficiency.

  • Identify opportunities for process improvement and cost savings in logistics operations and implement strategies to streamline workflows and enhance productivity.

  • Analyze logistics data and key performance indicators (KPIs) to evaluate performance, identify areas for improvement, and make data-driven decisions.

5. Customer Service and Communication:

  • Serve as a point of contact for customers, carriers, and internal stakeholders regarding logistics-related inquiries, issues, and concerns.

  • Communicate effectively with internal teams to ensure alignment and coordination across departments, including sales, customer service, and production.

  • Provide exceptional customer service by promptly addressing inquiries, resolving issues, and proactively communicating updates on order status and delivery schedules

 

Qualifications:

  • Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or related field preferred.

  • Minimum of 6 years of experience in logistics, transportation, or supply chain management, preferably in the skincare or consumer goods industry.

  • Strong understanding of logistics processes, transportation modes, and supply chain operations.

  • Proficiency in logistics software and systems, such as warehouse management systems (WMS), transportation management systems (TMS), and enterprise resource planning (ERP) systems.

  • Excellent organizational skills, attention to detail, and ability to multitask and prioritize tasks effectively.

  • Strong communication skills, with the ability to communicate clearly and effectively with internal and external stakeholders.

  • Problem-solving skills, with the ability to analyze complex logistics issues, identify root causes, and implement effective solutions.

  • Knowledge of import/export regulations and customs procedures is a plus.
